Manage your meeting rooms! Only solution!
Meetings are essential for productivity and efficiency. Meetings are a way to improve productivity and efficiency. Businesses need to meet in order to be successful.
That’s quite a lot. The number of meetings increased 12.9% with the outbreak of the pandemic. Meetings are now more important than ever thanks to remote work and the advent of remote working. Meeting room management is becoming more complicated.
How about meeting room management? Are They Still Important?
This raises the fundamental question: what about meeting rooms? This hybrid work arrangement allows some people to come to the office on their preferred days and the rest can work remotely. Do we still require meeting rooms? Yes, meeting rooms are still needed. Many trends show that employees prefer to be present at work if they have an important meeting. Our conference rooms are essential, despite us spending so much time in meetings, whether in-person or online.
Many organizations face challenges in meeting room management. The following are some of the most frequent problems:
- The right meeting room
- Even though they were booked, there are still empty meeting rooms
- Insufficient information about sanitation and usage
- The lengthy and complicated booking process
Meeting rooms, like all other facilities in hybrid workplace require proper management. We have compiled a list of useful tips to ensure your meeting rooms are used as intended.
Tip 1 – Use centralized meeting room management software
Effective meeting room management software is essential for hybrid workplaces. Although hybrid work models allow for flexibility, proper organization is essential to ensure that meeting rooms are managed. A good meeting room booking system will allow you to book rooms and keep them updated in real time.
These features should be present in a meeting room management software:
- It should produce reports and provide real-time analytics of the workplace
- It should allow for contactless booking
- It should be able to accommodate specific purpose and capacity bookings
- You should be able to book amenities
You need to make it easy for everyone to book your meeting rooms. John sends in a request for a meeting room and receives an email confirmation. Mark sees John’s request and book another room after he has scanned the available meeting rooms. John and Mark meet in separate rooms so they don’t have to move around. This is the type of management you should strive for.
Tip 2 – Create a purposeful and capacity specific layout for your meeting rooms
We have been focusing on designing meeting rooms based on their appearance. Meeting rooms were there for a variety of purposes. We are now reexamining the infrastructure of meeting rooms in hybrid workplaces. Our goal is to design layouts that serve a specific purpose and have a certain capacity.
A 12 ft. x12 ft. meeting space is ideal for four to five people. You are either wasting space or having too much. You should aim to make spaces that are occupied at all times. Each meeting room should be assigned a purpose. Each meeting room is assigned a purpose. It can be used for one-on-one meetings or large-scale conferences.
As you already know, purpose-specific meeting rooms can be easy to manage. John and Jude book a conference room that could be used by a 10-member marketing team. John can choose between two areas that permit one-on-one collaborations when he books a conference room. This saves space and allows you to manage your meeting rooms without losing your mind.
Tip 3: Name your conference rooms for easy location
Unique names for your meeting rooms will help facility managers and employees be more easily oriented. This is the easiest way to manage your meeting rooms. Eagle can be used in place of Falcon if Falcon is not available for an hour during the afternoon.
Names are also used to confirm the reservation. It is clear from the details provided during reservation that which room is being used, how long and what the purpose of the meeting are. Mark sees John indisposed when he checks the booking system for meeting rooms. Mark book another room without interrupting a critical budget meeting.
Tip 4 – Follow a strict room sanitation schedule
Although this may seem redundant, it is important to emphasize the importance of a cleaning plan that addresses all safety and health concerns. You must ensure that everyone is safe and clean when a meeting room is used multiple times per day. You should make it a priority to sanitize the room.
You should disinfect the meeting rooms after each use. High contact surfaces should be thoroughly cleaned. To keep track of who is using your meeting rooms, you can use a booking system. This will ensure that your sanitization strategy remains flawless. You can also use it to better assign cleaning staff. You need to be able to manage your meeting rooms effectively by using sanitization strategies.
Tip 5 – Delegate rooms to each team
Nearly all companies have multiple core business units. Space is therefore a valuable commodity. Hybrid workplaces, which aim to decrease real estate, can make meeting rooms into territories that other department jockeys might claim. This can make managing meeting rooms a nightmare.
It is best to delegate space to other teams to avoid these situations. Each department can have their own conference space. You can also seperate non-essential spaces from crucial meeting spaces.
We are now back at the second point – a purpose-specific room. Each team is given a designated area for meetings, which allows them to be accountable. A territorial mindset helps to prevent friction within the workplace. Management becomes a much easier job, in my humble opinion.
